NYC
Food Service Establishment permit renewal
The permit expires one year from the end of the month you applied, so it renews every year. DOHMH sends a renewal notice about three months (90 days) before expiry; you cannot renew until all Health Department fines are paid, and you need proof of workers' comp and disability coverage (or a CE-200).
Enter the expiration date printed on your permit or renewal notice. Expiry = one year from the end of the month of application.
Two-year license that expires December 31: of an even year if you applied in an odd year, of an odd year if you applied in an even year. Submit the renewal at least 15 days before expiry (by about December 16); DCWP mails the renewal package about three months ahead. A NYS retail dealer registration is also required.
Expiry is always December 31 (2026 or 2027 depending on your license). Renewal must be submitted at least 15 days before.
The license expires November 30 of an odd or even year depending on when you filed. DCWP mails a renewal package about three months before expiry; renew before it expires to keep operating.
Expiry is November 30 (odd or even year). Check your license.
Kitchen exhaust (hood/duct) professional cleaning every 3 months
The exhaust system above the hood must be cleaned by an FDNY-approved company (W-64/P-64 certificate holders) quarterly or as often as needed. Grease filters are cleaned in-house at least monthly.
Enter the date of the last professional cleaning; next one is due 3 months later.
Kitchen fire suppression system service every 6 months, plus staff training
A licensed master fire suppression piping contractor must inspect, test and service the system at least every 6 months, and staff training on activating it must be repeated every 6 months.
Enter the date on the current system tag; next service is due 6 months later.
Sprinkler systems need a hydrostatic pressure and flow test at least every 5 years (dry-pipe systems a full flow trip test), and standpipes a hydrostatic and flow test at least every 5 years, witnessed by FDNY. Usually the building owner's job; confirm under your lease.
The DOB Place of Assembly Certificate of Operation does not expire, but the FDNY Place of Assembly permit must be renewed annually after an inspection by the Public Assembly Unit.
Certificate of Fitness F-03 renewal (every 3 years)
The F-03 Certificate of Fitness is valid 3 years; FDNY sends a renewal notice 90 days before expiry. Renewing 90 days to a year late adds a $25 penalty; more than a year expired means applying again.
Enter the expiration date on the F-03 card for each holder.
Protected Time Off: new 32-hour unpaid bank each calendar year
Since February 22, 2026, employers must give every employee 32 hours of unpaid protected time off available immediately, and a new 32-hour bank on the first day of each calendar year (the 12-month year the employer defines). Paid time accrues at 1 hour per 30 worked, usable up to 40 or 56 hours a year.
Enter the first day of your company's calendar year (Jan 1 unless you defined another 12-month period); reset the 32-hour unpaid bank that day.
On-premises wine and liquor licenses are issued for two years. The SLA sends a renewal advisory about 3 months before expiry. You must file before the license expires and should allow 10 business days for processing. In NYC, notify your Community Board at least 30 days before filing. You cannot sell alcohol on an expired license.
Reminders: 90 days (advisory arrives), 75 days (send the Community Board notice), 40 days (file). Look up your expiry on the SLA LAMP or data.ny.gov license dataset.
Sidewalk or roadway cafe license expiry and renewal
A sidewalk or roadway cafe license lasts four years, so expiry is four years after the license effective date. Renewal costs a $1,050 license fee, separate from the annual consent payment. Your consent agreement may set a deadline to petition for renewal, so check it and start early.
Enter the effective date printed on your license; we add four years for the expiry. Reminders: 9, 8 and 4 months before expiry, in case your consent requires an early renewal petition.
The city charges a yearly payment for the consent, based on cafe square footage and your sector. Your due date is set in your consent agreement and invoice, so enter the date from your invoice. Local Law 145 of 2026 will allow quarterly installments, no earlier than about May 2027. Repeated late payments can lead to suspension or revocation.
Enter the due date on your DOT invoice or consent. Reminders: 45, 30 and 7 days before.
Add anything that repeats, like payroll day or a monthly bank reconciliation. Up to 10. Titles stay in your browser and travel inside your personal calendar link. We do not store them.
Good to know
NYS minimum wage: no increase on Jan 1, 2027. An off-ramp condition was met, so the minimum wage stays at $17.00 (NYC, Long Island, Westchester) and $16.00 (rest of state) on January 1, 2027. Tipped food service workers: $11.35 cash wage + $5.65 tip credit downstate; $10.70 + $5.30 rest of state. Rates for 2026 were the same ($17.00 / $16.00 from Jan 1, 2026). NYS Department of Labor
Food Protection Certificate (supervisor on duty). A supervisor with a Food Protection Certificate must be on duty during all hours of operation. The certificate does not expire and does not need renewal; the thing to track is that a certified supervisor covers every shift. NYC DOHMH
NYC sales tax is filed with New York State. NYC's 8.875% sales tax (state, city and MCTD parts) is registered for and filed with New York State, not NYC Finance. Use the NYS sales tax rows for due dates. NYS Department of Taxation and Finance (collects NYC sales tax)
Certificate of Occupancy: no expiry. A final Certificate of Occupancy has no expiration date. You need a new or amended CO when the use, egress or type of occupancy changes. NYC Department of Buildings
Outdoor dining rules are changing. Local Law 135 of 2026 (signed Aug 31) expands access to roadway cafes and removes seasonal restrictions for some. Local Law 145 of 2026 will allow quarterly installments of the annual payment, no earlier than about May 2027. DOT has not published the details, so we show no outdoor dates beyond the ones you enter. Check DOT for your setup before you install or remove anything. NYC Council / NYC DOT
